To start collecting applications for a new school year, you'll need a term created and configured for application collection. If your term already exists, skip to "Step 2: Enable the Term for Applications."
This article covers the key steps to get up and running. For a full breakdown of everything you can do on the Terms page, see Terms Page & Data Management.
💡Quick Answers
- How do I create a new term? Go to Settings > General > Terms, click Add a New Term, enter a name and start year that match your existing term format, and click Submit.
- My term already exists. How do I enable it for applications? On the Terms page, find the term and toggle Available on Other Forms to Yes. Changes save automatically.
- How do I open or close grades at a specific date? Expand the term, click Edit under Global Configuration (all grades) or Custom Grade Configuration (per grade), set an Open or Close Date, choose an action, and save.
- What's the difference between Global and Custom Grade Configuration? Global applies settings to all grades at once. Custom lets you configure individual grades. Custom always takes precedence over Global for that grade.

- Step 1: Create the Term
- Step 2: Enable the Term for Applications
- Step 3: Configure Grade Settings
- Step 4: Verify Your Setup
Step 1: Create the Term
- Go to Settings > General > Terms and click Add a New Term.
- In the pop-up that appears, enter a Name and Start Year, then click Submit.
Match Existing Term Format
Follow the format of your existing terms as a reference (e.g., if existing terms are named "2025-26", name the new one "2027-28").
Step 2: Enable the Term for Applications
- On the Terms page (Settings > General > Terms), toggle Available on Other Forms to Yes for your term. The Application Collection Status will automatically update to Collecting.
- If you'd also like families to be able to inquire for this term, enable Available on Inquiry Forms as well.
- Changes save automatically. These toggles only affect the parent-facing form. Admins always see all terms when filling out forms internally.
Step 3: Configure Grade Settings
Expand the term to control how grades behave within your application form. You have two options:
- Global Configuration for All Grades: applies the same settings to every grade at once
- Custom Grade Configuration: lets you configure each grade individually
Within either section, you can:
- Set an Open Date, Close Date, and/or Max Applicants cap per grade
- Choose what happens when the criteria are met:
- Don't collect applications: Remove the grade from the form entirely
- Collect and auto-waitlist applications: Keep it open but automatically waitlist new applicants
For full details on configuration options, precedence rules, and important notes, see Terms Page & Data Management. For more on managing students after they are auto-waitlisted, see Auto-Waitlist.
Step 4: Verify Your Setup
Before sharing your application link with families, confirm:
- The term is toggled on under Available on Other Forms
- Each grade's status (open, waitlisted, or closed) matches your plan
- Parent Admissions Application Enabled is turned on under Settings > Portal > Parent Portal Content when you are ready to collect applications.
⚠️ Important Note
Closing or auto-waitlisting a grade does not prevent families from accessing the application form; it only removes or adjusts the grade as an option within it.
To control overall application access, see Control Parent Access to Admissions & Enrollment in the Parent Portal.
